Requirements

Key Responsibilities

  • Executive Support: Act as the primary point of contact for the executive team, managing schedules, coordinating meetings, and ensuring effective communication.

  • Calendar Management: Maintain and prioritize complex executive calendars, scheduling appointments, and resolving conflicts efficiently.

  • Communication: Draft, review, and manage correspondence, presentations, and reports with a high degree of accuracy and confidentiality.

  • Travel Coordination: Plan and organize international and domestic travel arrangements, including itineraries, visas, and accommodations.

  • Meeting Management: Prepare agendas, take detailed minutes, and follow up on action items to ensure timely execution.

  • Research & Reporting: Conduct research, prepare briefing materials, and create reports to assist executives in decision-making.

  • Office Administration: Handle expense reports, vendor management, and other administrative tasks to support seamless operations.

  • Confidentiality: Handle sensitive information with the utmost discretion and professionalism.

Qualifications & Skills

Required:

  • Bachelor’s degree in Business Administration, Communications, or a related field.

  • Proven experience (2+ years) in a similar role supporting senior executives, preferably in a global or MNC environment.

  • Fluent in English and Russian (spoken and written); additional languages are a plus.

  • Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual collaboration tools (Zoom, Teams, Slack, etc.).

  • Strong organizational and time management skills with an ability to multitask effectively.

  • Exceptional interpersonal and communication skills.

  • High level of discretion and professionalism in handling confidential information.

Preferred:

  • Familiarity with global time zones and cross-cultural communication.

  • Experience with project management tools (e.g., Asana, Trello) or CRM platforms.

  • Prior experience in a fully remote or hybrid work setup.
